User Services Assistant


ARTstor is seeking a User Services Assistant. The User Services team provides technical support and training services to subscribers, both at the institutional level (including libraries, visual resource collections, and instructional technology departments), as well as directly to end users (including faculty, curators, and graduate and undergraduate students). Reporting to the Assistant Director of User Services, the User Services Assistant will serve in an administrative role and work closely with the other members of the User Services team. This is an entry-level position.


Primary Duties and Responsibilities:

·         Respond to telephone inquiries and distribute them to the appropriate team members as needed

·         Provide technical support and help desk services (via phone and email) related to both technical issues (hardware, software, network infrastructure) and content (availability of certain content areas, questions about image or data quality) for ARTstor licensees, working directly with a range of staff at participating institutions, including information technology and instructional technology staff, visual resource professionals, librarians, and museum professionals

·         Work collaboratively with ARTstor’s User Services and QA teams to resolve technical issues.

·         Enter and update contact and account information in a CRM database

·         Execute installation procedures for new participating institutions

·         Schedule remote trainings of ARTstor through web conference software

·         Assist with the maintenance of online and printed documentation and training materials

·         Organize correspondence and mailings, e.g. welcome kits, training packets, conference materials, etc.

·         Assist with communications, such as email announcements and listservs

·         Maintain departmental calendar and meeting schedules

·         Attend departmental meetings and compile meeting notes

·         Administrative assistance and other tasks as needed


Qualifications:

The User Services Assistant should be professional, organized, should have good problem solving, personal and communication skills, should have the ability to work closely with a small dedicated team in a fast-paced environment, and should be committed to the delivery of high-quality service to users in the educational and arts community. Candidate should demonstrate initiative, resourcefulness, be energetic and flexible, able to work independently and demonstrate the ability to work cooperatively with professional staff members in all sectors, internally and externally. A detail, process, and structure-oriented candidate is a plus.


Required:

·         Bachelor's degree in a liberal arts discipline, in computer or information science, or in a relevant technical field;

·         Excellent written and oral communication skills regarding technical and non-technical subjects;

·         Comfort and fluency in a variety of software programs and both Mac and PC platforms;

·         Demonstrated ability to work cooperatively with professional staff members in all sectors, internally and externally;

·         Strong organizational skills, ability to prioritize, manage multiple tasks and meet deadlines.

·         Previous administrative and/or user support experience a plus.
