University Records Manager
Job Description:
The American University in Cairo seeks a University Records Manager to manage the day-to-day operations of the Records Management Program. This includes managing the Records Center facilities, coordinating the records management activities of units throughout the university, and participating in the development of records management policies and procedures, with an emphasis on digital records. The position holder reports to and works closely with AUC's University Archivist, within the structure of the university's Rare Books & Special Collections Library. Principal accountabilities include:
• Provide leadership, guidance, and direction on the management of records, particularly those in digital form including electronic mail, local and networked computer databases and other utilities. Coordinate such efforts with relevant university units including those in the information technology area. Generate policies and procedures and develop and implement publicity and training initiatives for university staff on the handling of records, including those in digital form. Identify, recommend, and procure vendor products and services for the management of digital resources.
• Develop and implement policies and procedures for the transfer of university records to Records Centers, their retrieval by authorized users, and destruction or transfer to archival storage of records as appropriate. Develop publicity and provide guidance and training in procedures for the university community's proper handling of records and use of records center services. Revise records retention policies as necessary, based on analysis of functions and usage of records in all formats from units throughout the university.
• Manage university Records Centers, including supervising daily operations and staff activities, maintenance of facilities, and coordination with university Facilities units. Supervise the work of Records Center assistants, including their provision of reference services in the Records Center and their work indexing, organizing, reviewing records sent to the Center. Coordinate destruction of obsolete records and be proactive in preventing as well as responding to unauthorized records destruction.
• Manage the Records Management Program budget, including use of SAP financial platform. Identify, recommend, and procure vendor supplies and equipment for records management activities.
Requirements:
Minimum education requirement: PhD or MA degree in records management or information sciences or related field.
Experience: Experience directing a Records Management program in an educational or other institution. Supervisory experience is a must.
Skills: Strong knowledge of professional records management principles and techniques for all formats of records including digital resources. Ability to analyze the function and uses of records in all formats. Excellent organizational skills. Advanced verbal and written communication skills, accuracy and attention to details, computer knowledge, ability to work in a team and to meet deadlines, and ability to communicate effectively with members of the AUC community.
