QUALIFICATIONS:

Master of Library Science degree (MLS) required. Additional Training/Experience: Public library cataloging experience required. Knowledge of Evergreen ILS preferred. Supervisory experience preferred.

Equivalent Training: Trainee applicants must have completed at least 75% of required course work towards a MLS and submit a letter from the dean of the library school that states the number of credit hours already obtained and that the candidate can complete all master’s degree requirements within twelve months.

CONDITIONS:

Selected applicant must have or obtain, and maintain a valid North Carolina driver’s license with an acceptable driving record; must have access to transportation; background check with local law enforcement agency required; and must submit to a drug-screening test and receive a negative result for the use of drugs specified in the county policy. Refusal to submit to testing or a confirmed positive test shall be basis for withdrawal of the conditional employment offer.

DUTIES:

An employee in this position is responsible for providing advanced cataloging/processing services to the library system. Also acts as primary assistant to the technical services manager; may regularly act as Person-in-Charge in absence of department manager. Is responsible for overseeing the general workflow of the department’s acquisitions and processing duties, tracking outstanding orders, and supervising, scheduling & training all Administrative Support Specialists in the department. Employee maintains accurate financial records, copies and edits catalog records for the Integrated Library System (ILS), and manages adult and juvenile paperback standing orders as well as direct orders and all order cancellations. Tracks grant funds for the collection development division. Copies bibliographic records (various formats) from OCLC (Online Computer Library Center – a bibliographic repository for libraries around the world).  Applies locally established edits, assigns Dewey Decimal classification number, and downloads into the library’s ILS (Integrated Library System).  Manages orders on various vendor websites and downloads the orders into the ILS. Creates manual orders, merges duplicate orders, and creates brief bibliographic records in the ILS when appropriate. Resolves errors that occur when the order is downloaded. Communicates with vendors to place direct orders and standing orders. Follows up to resolves problems that arise on any order type. Manages ordering of materials purchase with grant funds. Unpacks and checks shipments against the packing slips. Receives materials electronically as shipments are delivered. Creates invoices and vouchers for payment of materials received. Checks new materials for defects and returns defective materials following the vendor’s established protocols. Reconciles paper and electronic invoices and submits to administration on a regular basis. Oversees and coordinates the department’s daily workflow; ensuring materials are received, invoiced, paid, processed and distributed in a timely manner. Trains, supervises and evaluates supervisees’ performances according to established library and county policy. Physically processes the materials for use by staff and the public (labeling, taping, stamping, applying security devices, etc). Creates item records in the ILS (bar codes, item classification, price, location, circulation parameters, etc.). Sorts the materials for distribution to the appropriate library branch. Maintains standing ordering information in a Microsoft Access database and runs periodic reports on that data. Prepares monthly statistics using automated databases and spreadsheets.
