Library Support Specialist - UCL
The University College of London has recently begun offering programs in archaeology, conservation, and museum studies in Qatar. The UCL-Q Library collections and services are being integrated within the Georgetown University School of Foreign Service – Qatar (SFS-Q) Library space. The Library Support Specialist – UCL is a new position created to facilitate the integration of the UCL-Q library within the Georgetown library.
Responsibilities:
- Review and analyze bibliographic data fields within III system for quality control.
- Order books, periodicals, and other materials from various suppliers.
- Manage EDI interfaces and maintain vendor records within the III integrated library system.
- Receive library materials for both UCL-Q and GU-Q collections.
- Load bibliographic and financial records from bibliographic utilities into the III system.
- Manage consolidated billing processes.
- Handle invoice payments and maintain financial records.
- Perform derived cataloguing of materials, edit catalogue records, and produce call number labels.
- Manage inventory of processing supplies and materials.
- Scan records for incoming materials and correct any load errors.
- Manage patron records for UCL-Q and other patron categories.
- Update and maintain course reserve collections (print and electronic).
- Determine shelving requirements and organize shelving and shifting of collections.
- Monitor usage of study spaces and computer workstations.
- Maintain records and statistics.
- Develop policies and document procedures, especially in relation to UCL-Q library operations.
- Answer queries and trouble-shoot technical problems.
- Assist in handling circulation and stacks maintenance duties as required.
- Participate in departmental meetings and in achieving library-wide goals and priorities.
Requirements:
- Bachelor's degree or equivalent combination of education and relevant experience.
- Minimum of 3 years of experience in library technical services or systems areas.
- Some experience in library user services (circulation, interlibrary loans, course reserves) highly desirable.
- Experience in using an integrated library system, preferably the Innovative Interfaces Inc. Millennium system.
- Experience in dealing with library suppliers and vendors highly desirable.
- Strong computer skills and ability to handle large volumes of data.
- Thorough knowledge of library technical services with extensive experience in acquisitions, cataloguing, invoice handling, and processing materials.
- Sound knowledge of integrated library software systems, electronic data exchange, and interoperability of data structures.
- Sound knowledge of circulation, reserves, interlibrary loan procedures, and document delivery with the ability to handle these processes within an integrated library system.
- Knowledge of higher educational library practices and procedures.
- Experience in using and working with mobile devices and applications (iPads, smartphones, cameras) and other equipment.
- Superior oral and written communication skills.
- Strong computer literacy, excellent keyboarding skills.
- Knowledge of the publishing industry and book trade.
- Strong public service orientation and ability.
- Arabic language proficiency desirable.
